MOTORSPORT ONLINE CHANGE LOG
This section will provide information regarding recent system updates that have been made to the MotorSport Online System along with an update on current bugs/issues and key future improvements that are being investigated for future implementation.

6 March Update
Multiple features and fixes were deployed in an update to MotorSport Online on 6 March 2024:
- Permit PDF Signing: The Permit PDF that the system generates for Permit Issuing Stewards now automatically signs the permit with “Permit Approved by XXX at XXXpm/am Day/Month/Year” based on when the permit status is changed to “Approved” Note: this only applied to events generated in 2024 that have not yet been approved.
- Permit PDF Name: The Permit PDF is now automatically named “Organising Permit_#XXXXXX.pdf”
- Supplementary Regulations on Calendar: A link to the Supp Regs is now directly available on the event card in the calendar
- Address on Calendar: The event region will now display on the event card if it is not a permanent circuit.
- Website links on Calendar: Removed requirement for https prefix on web address in event card on calendar. All websites should now link correctly.
- Event Entry Report Clean up:

- Fixed Licence expiry date not showing for 2022 licences
- Fixed displaying incorrect licence expiry date
- Moved fist/last name columns
- Licence left off the report
8 February Update
Multiple fixes were deployed in an update to MotorSport Online on 8 February 2024:
- New Event Entry Export available: This new Event Entry Export option gives organisers and officials the ability to receive a more comprehensive and effective CSV export of the event’s entry data. This includes the display of licence number, grade and expiry as well as membership details and clearer vehicle and transponder information.
- Group Entries to display together: Where an additional person (co-driver/navigator etc.) is linked to another entry, these will now display together on both export files.
- Licence Renewal availability is now correctly set to two months prior to expiry.
- Entry Withdrawals will now trigger an “entry updated” email to the organiser.
24 January Update
Multiple fixes were deployed in an update to MotorSport Online on 24 January 2024:
- Fixed Safety Structure Inspection error on the app: An error that prevented Safety Structure Inspections from being done on the MotorSport New Zealand app has been fixed.
- Fixed error where Transponder number on Sign-in screen on app was wrong
10 Januray Update
Several issues have been fixed and were released on 10 January 2024 in response to the 2024 roll over:
- Digital Licence display error fixed: The issue where digital licence of a competitor was not displaying correctly, or blank has now been fixed.
- Officials missing from Permit Application lookup fixed: An issue where some officials were missing in the “Major Officials” look up section of the permit application has now been fixed.
- Valid Club Membership / Licence not recognised: The issue where a valid club membership or competitor licence was not recognized by the platform has now been fixed.
- Unable to renew Licence and Club Membership fixed: An issue where an error message display when trying to renew a licence or club membership was fixed
In addition, we have also deployed the following updates recently:
- Ability for competitor to set entry fee to $0 fixed: A small issue allowed competitors to set their entry fee to $0 when they clicked a small, specific part of the entry form has been fixed.
- Double charging of Driver & Co-driver fixed: An issue that charged both driver and co-driver has been fixed. Only the primary driver will be charged when entering an event. Organisers should take note of this and set fees accordingly if additional competitors on the same entry are to be charged.
- Clearer grouping of co-driver / additional drivers in entry list: Where an entry has a co-driver, additional driver or navigator attached to it, the additional person will be clearly grouped and displayed alongside the primary driver.
- Personal details removed from email notifications: Due to privacy concerns, all form information and personal details have been removed from the confirmation/notification emails that are sent from MotorSport Online. These emails will still contain links to access the information when logged into MotorSport Online.
The following updates and improvements are also set to be released in the coming weeks and months:
- Make Supplementary Regulations accessible on calendar: The Supplementary Regulations for an event will become accessible on the event’s card on the calendar. This means that a users will no longer required to click ‘enter’ to see this document.
- Improve the location information on event calendar: Improve the location information on an event’s card on the calendar to display specific location with link to address on Google Maps.
- Fix issue where Licence Renewal Reminders were not being sent to some users
- New, customised Entry List CSV export: A new customised CSV export of Entry Lists has been developed, thanks to the help of a number of organisers, that displays more information such as licence number, grade and expiry as well as membership details and clearer vehicle data in separate columns.
1 December Update
Issues Under Review
• The ability for an unregistered Co-driver to be entered in an event by the Primary Driver. This was stopped and resolved during the Documentation but should have been stopped earlier.
• Some offline functions are currently not working consistently for some Clubs.
• Licence renewal notifications are not being received by all license holders once the ability to renew the licence is available.
Work In Progress
• The ability for some competitors to be able to adjust the number of entries and therefore zero out the entry fee on an event entry. This is getting resolved at Documentation, but a solution is being worked on to remove this bug.
• The ability to provide attachments to the Entry Email database. Currently, this can only be done by uploading the document to the MSOL Club document area and then hyperlinking it to the email.
• Improved access levels for Clerk of the Courses to provide for better visibility, particularly at ClubSport level events.
• Adjustments are being made to the content of some of the automated confirmation emails produced by the system.
• Inclusion of both the Region and the Supplementary Regulations on the Event Card in the MotorSport New Zealand calendar to provide more information without having to start the entry or Expression of Interest process.
• Improvements to the downloadable Entry list available to the Club to provide more data such as individual vehicle details, cleaner transponder number information, competition licence number and expiry date along with club membership information.
1 November Update
Improvements:
• The ability to be able to open an event registration if Driver has subsequently deleted the car they entered the event with.
• Linked vehicles will now be removed rather than deleted from the MotorSport Online system. This means that the vehicle details are still held within the MotorSport Online database even though it has been removed from an individual profile. This provides for the reallocation of the vehicle to a new owner if found in the future.
Issues Resolved
• The inclusion of the phone number for the second Steward (when appointed) will now be displayed on the Event permit.
Issues Under Review

• There have been some issues noted with the attachments of documents to a Clerks of the Course report. It currently requires the Clerks of the Course to upload and save each document individually to the report.
